Affiliate Emails & Automated Sequences
Insert Affiliate sends intelligent, automated emails to both you and your affiliates throughout the entire affiliate lifecycle. From welcome emails to milestone celebrations, these emails are designed to keep your programme running smoothly and your affiliates motivated.
Customising Welcome Emails
When you add a new affiliate, Insert Affiliate sends them a welcome email with everything they need to get started. You can fully customise these emails to match your brand voice and messaging.
There are two types of welcome email, depending on how the affiliate was created:
Admin-Created Affiliate Email
This email is sent when you manually create an affiliate from the dashboard. It includes a password reset link since you created their account on their behalf and they need to set their own password.
Default template variables:
{{affiliate_name}}— The affiliate's display name{{affiliate_email}}— The affiliate's email address{{company_name}}— Your company name{{password_reset_link}}— Link for the affiliate to set their password
Self-Signup Affiliate Welcome Email
This email is sent when you approve a self-signup affiliate application. It includes a sign-in link instead of a password reset link, since the affiliate already set their password during signup.
Default template variables:
{{affiliate_name}}— The affiliate's display name{{affiliate_email}}— The affiliate's email address{{company_name}}— Your company name{{sign_in_link}}— Link for the affiliate to sign in to their dashboard
How to Customise
- Go to Settings
- Scroll to the Email Templates section
- Switch between the Admin-Created and Self-Signup Welcome tabs
- Edit the subject line and body using the available template variables
- Use the Preview Email button to see how your email will look with sample data
- Click Save Changes
You can click the variable buttons above the editor to insert them at your cursor position. Use Reset to Default at any time to restore the original template.
Automated Email Sequences
Beyond welcome emails, Insert Affiliate runs automated email sequences that guide both you and your affiliates through key moments. These emails are sent at the right time based on real activity data — not arbitrary schedules.
Why Automated Emails Matter
Affiliate programmes succeed when both sides stay engaged:
-
For you (the company): Automated emails help you stay on track with your affiliate programme, maintain consistent marketing efforts, and celebrate important milestones. Instead of your programme going quiet after setup, you get timely nudges to keep momentum going.
-
For your affiliates: Automated emails help your affiliates get activated early, stay motivated through their first days and weeks, and feel recognised for their efforts. Affiliates who receive timely onboarding emails reach their first sale significantly faster.
Time to activation — the time between an affiliate joining and generating their first click or sale — is one of the most important metrics in affiliate marketing. These sequences are specifically designed to shorten that window and drive early engagement.
Company Email Sequences
These emails are sent to you (the company admin) to help you build and maintain a successful affiliate programme.
Onboarding Sequence (Days 1–14)
Guides you through the critical first two weeks of setting up your affiliate programme.
| Day | When It's Sent | |
|---|---|---|
| Day 1 | Getting Started | If your SDK integration isn't set up yet |
| Day 3 | Add Your First Affiliate | SDK is integrated but you haven't added any affiliates |
| Day 5 | Still No Affiliates | A gentle reminder if you still have no affiliates |
| Day 7 | Drive Your First Clicks | You have affiliates but no clicks yet |
| Day 10 | Programme Check-in | If there's been no meaningful progress |
| Day 14 | Final Onboarding Nudge | Last onboarding prompt before the sequence ends |
Each email is conditional — you only receive it if the specific situation applies. If you're already ahead (e.g., you added affiliates on day 1), you'll skip the emails that don't apply to you.
Activity Nudges
Triggered by specific conditions rather than fixed schedules.
| When It's Sent | |

Email Preferences
Company Email Preferences
You can manage your email preferences from your Settings page. You can pause all automated sequence emails if needed — transactional emails (like welcome emails and payment confirmations) will still be sent.
Affiliate Email Preferences
Affiliates can manage their own email preferences from their dashboard. They can opt out of specific email types while continuing to receive others. Transactional emails cannot be disabled.
How Emails Drive Affiliate Success
Faster Time to Activation
The onboarding sequences for both companies and affiliates are designed to shorten the time between signup and first meaningful action. For companies, that means getting your SDK integrated and affiliates added. For affiliates, that means sharing their link and generating their first clicks and sales.
Consistent Programme Management
The company email sequences act as an automated programme manager — keeping you on track, flagging when attention is needed, and celebrating wins so you maintain momentum.
Affiliate Motivation and Retention
Affiliates who feel supported and recognised perform better and stick around longer. The milestone celebrations, performance nudges, and monthly summaries give affiliates a sense of progress and achievement. Rather than promoting in silence, they get regular feedback that their efforts are working.
Early Intervention
Re-engagement emails catch both companies and affiliates before they disengage completely. A timely nudge at day 14 or day 30 is far more effective than trying to win someone back after months of inactivity.
